Who is responsible

This website is run by Matthew Brookes, trading as Freshwest. He is responsible for (the “controller” of) the information sent through this site and decides how it is used.

For any question about your information, email booking@freshwestdj.co.uk.

What we collect

If you send a booking enquiry

Through the enquiry form:

  • your name and email address;
  • the type of event;
  • if you choose to give them: your telephone number, the event date, the venue or location, approximate timings and anything you write about the event.

If you request the Seasunal Sessions venue brochure

Through the brochure form:

  • your first name and email address;
  • your venue or organisation, if you choose to give it;
  • whether you ticked the separate box for Seasunal Sessions updates.

If you email booking@freshwestdj.co.uk directly, we receive whatever you include in your email. The site doesn’t ask for anything else, and there are no accounts or payments.

Why it’s used, and the legal basis

Replying to booking enquiries and arranging a booking
Because you’ve asked about a possible booking, this is a step taken at your request before a contract.
Venue and Seasunal Sessions partnership enquiries, including sending you the brochure
Legitimate interests: responding to a business enquiry you started, and following up about a possible partnership.
Running the forms and keeping them free of spam
Legitimate interests: operating the website securely.
Seasunal Sessions update emails
Your consent, given only by ticking the separate box. See below.

Sending an enquiry or requesting the brochure does not sign you up to marketing. Your details are never sold.

Seasunal Sessions updates

The brochure form has a separate, optional box for occasional Seasunal Sessions updates. It is unticked to begin with, and you can get the brochure without ticking it.

Requesting the brochure on its own does not subscribe you to anything. If you choose to tick the separate optional box, Freshwest may send you occasional Seasunal Sessions updates by email. You can withdraw your consent at any time using the unsubscribe option in an email or by contacting booking@freshwestdj.co.uk.

Who else handles it

A small number of third-party technology providers handle information on Freshwest’s behalf:

Like any web host, Netlify and Cloudflare also process basic technical information when you visit, such as your IP address and browser type, to deliver the site and keep it secure.

These providers operate internationally, so some of this processing may take place outside the UK. Where information is transferred outside the UK, Freshwest relies on the transfer arrangements those providers have in place, as described in their own privacy and data processing information linked above.

How long it’s kept

Enquiries and brochure requests that do not lead to a booking or partnership will normally be deleted within 12 months of the last meaningful contact. Where a booking or partnership goes ahead, relevant information may be kept for as long as reasonably necessary to manage the relationship and meet applicable legal, accounting or tax obligations.

Marketing consent records are retained while consent remains valid. If someone unsubscribes, Freshwest may retain the minimum information necessary to ensure that marketing is not sent to them again.

SoundCloud and other sites

The mixes on this site are hosted by SoundCloud. Nothing from SoundCloud loads until you press Listen. When you do, SoundCloud’s player loads from SoundCloud and SoundCloud may use cookies and collect information about your visit, under SoundCloud’s privacy policy (opens in a new tab). If you’d rather not, use the “Open on SoundCloud” links or don’t press Listen.

This site also links to Instagram, SoundCloud and event venues’ ticket pages. Once you follow a link and leave freshwestdj.co.uk, those sites’ own privacy policies apply.

Cookies and tracking

Freshwest does not currently use analytics or advertising cookies. SoundCloud content is not loaded until you press Listen. Once loaded, SoundCloud may use cookies or similar technologies and process information about your visit, under SoundCloud’s privacy policy (opens in a new tab). Hosting and security providers may also process technical information necessary to deliver and protect the website.

Your rights

Under UK data protection law you can ask:

  • what information is held about you, and for a copy of it;
  • for it to be corrected if it’s wrong;
  • for it to be deleted, or for its use to be restricted;
  • to object to how it’s used, including at any time to marketing.

Email booking@freshwestdj.co.uk. We normally respond within one month. In some circumstances the law allows additional time, and we’ll tell you if that applies. Some requests can’t be met in full, for example where information has to be kept for legal or tax reasons, and if so you’ll be told why.

If you’re unhappy with how your information has been handled, you can complain to the Information Commissioner’s Office at ico.org.uk (opens in a new tab).
